Role Overview
We are looking for an HR Coordinator to join our People team in Iraq. You will own the day-to-day HR operations that keep Swibit running — payroll preparation, employment contracts, leave and attendance management, employee records, onboarding logistics, and compliance with Iraqi labour law.
This is a critical operational role. Trust is built one payroll at a time — and you are the person who ensures every employee is paid correctly, contracted properly, and supported from their first day to their last.
Key Responsibilities
Payroll & Compensation
Prepare and process monthly payroll — salaries, deductions, bonuses, overtime
Maintain accurate payroll records and resolve discrepancies
Coordinate with the Financial Controller (Al-Rida) on salary disbursements
Manage benefits administration — health insurance, allowances, reimbursements
Ensure compliance with Iraqi tax and social security requirements
Contracts & Employment Records
Draft, issue, and manage employment contracts — new hires, renewals, amendments, terminations
Maintain complete and accurate employee records in Odoo HR
Process promotions, transfers, and role changes
Manage probation tracking and confirmation processes
Ensure all documentation complies with Iraqi labour law
Leave & Attendance
Manage leave requests and approvals through Odoo
Track attendance, working hours, and overtime
Maintain leave balances and accruals
Produce attendance reports for management
Handle absence management and escalation
Onboarding & Offboarding
Coordinate Day 1 logistics for new hires — workspace, equipment, accounts, access, documentation
Run the onboarding checklist — ensure every new hire has a smooth, complete first week
Support the values onboarding process in collaboration with the CPO
Manage the offboarding process — exit interviews, equipment return, account deactivation, knowledge transfer
Ensure final settlements are processed correctly
HR Administration & Compliance
Operate the Odoo HR module day-to-day — employee profiles, workflows, reporting
Respond to employee queries on policies, leave, payroll, and benefits
Maintain and update HR policies and procedures documentation
Support the CPO with performance review administration
Ensure compliance with Iraqi labour law, company policies, and regulatory requirements
Prepare HR reports and metrics for the CPO
Requirements
Essential
Based in Iraq (able to work from the office on a hybrid schedule)
2+ years of experience in HR administration, HR coordination, or a similar operational HR role
Hands-on payroll experience — preparation, processing, reconciliation
Experience drafting and managing employment contracts
Knowledge of Iraqi labour law — contracts, leave entitlements, termination procedures, social security
Strong attention to detail and accuracy — payroll and contracts demand zero errors
Excellent organisational skills — able to manage multiple processes and deadlines simultaneously
Comfortable working with HRIS / HR software systems
Professional, discreet, and trustworthy — you will handle sensitive employee data
Fluency in Arabic and English (spoken and written)
Preferred
Experience with Odoo HR module or similar HRIS platforms
Experience in a technology company or startup environment
Contract drafting experience (beyond template filling)
Knowledge of multi-location HR operations (Iraq + international)
HR diploma, CIPD, or equivalent qualification
Experience supporting performance review processes
Familiarity with expense management and reimbursement processing
